Position Summary

The Solutions Proposal Coordinator/Bid Proposal Specialist ensured the end-to-end responses process of submitting proposals of the company to its identified prospective clients for the growth of the business. They create the necessary documents through available resources and key personnel and maintain an updated database of previous works as points of reference to particular activities.

Functional responsibilities:

  • Supports the end-to-end proposal/bid response process (RFPs, RFIs, proactive bids) from creation to final submission through original content development, information-sourcing from internal subject matter experts, and use of Salesforce knowledge base to access existing content.
  • Develops and/or updates related documents (case studies, fact sheets, pricing and assumption statements, sales and site visit presentations, service descriptions) and helps in creating compelling, client-targeted proposal stories with the senior solutions consultant(s) to include our solution(s) and highlight company differentiators.
  • Ensures that the writing styles, voice, protocols, structure, format, layout, graphics, and other necessary elements are consistent, compliant, and adherent to brand standards for newly produced and revised content, and collaborates with subject matter experts (SMEs) whenever necessary.
  • Provides additional support to maintain a library/repository of proposal-related materials (proposal content, presentations, case studies, proposal responses, and other bid-related references) through content harvesting, organization, and management, using relevant tools including Salesforce, Google Workspace, Microsoft Office, Adobe, and the like.
  • Performs adhoc tasks, such as miscellaneous writing and documentation tasks, manages bid schedules, and support online procurement activities such as Ariba or Workday/Scout RFP, and other tasks as necessary.

Qualifications:

  • At least a Bachelor’s degree in communications, journalism, marketing, or related fields.
  • Minimum of 3-5 years prior experience where writing was the primary focus (i.e. journalism, sales, or marketing writer)
  • Strong understanding of BPO, CCO, DX services, and processes is preferred.
  • Must be able to self-manage setting and managing content schedules and deadlines.
  • Amenable to work on a hybrid setup on a night shift/shifting schedules.
